Describe the work that you do in your role
*Draft routine correspondence, memoranda to Government offices/ministries in accordance with standard office procedures.
*Maintain and update Human Resource Record of all Staff Members & and maintain general office files.
*Maintain and update leave record and daily attendance record of all staff members.
*Responsible for protocol matters of international staff members personnel on general administrative matters relating to visas, shipments, UN ID cards, MFA cards; rental subsidy, CBR Booklet, telephone lines, driving license, visa extensions , licenses, security.
*Maintain all the information on recruitment/Separation checklist, screening list & interview files.
*Maintain and update MIP database including enrolment of new staff/dependants and verification of MIP claims for payments
*Carry out customs clearances of internationally procured items and contact authorities and government offices to obtain all necessary authorizations and clearances.
*Responsible for making arrangements for shipments of international Staff Members and receipt of household effects, including customs clearance.
*Assist the Snr. Administrative Assistant re office vehicles, their maintenance and preparing field visit schedules.
* Assist the Snr. Administrative Assistant for all purchases according to the organizational rules and procedures and ensure smooth running of office supplies.
*Preparing & maintaining inventory records
*Coordinating and liaison with partner organizations
*Arranging field trips of all local/international staff
*Obtaining NOC from Govt, Dept. and security clearance for the staff field trips.
*Arranging proper accommodation/pick and drop, travel arrangements for all arrival and departures of official delegates.
* Assist the Snr. Administrative Assistant in repair & maintenance of office equipments, furniture/fixtures and office building.
*Responsible for travel arrangement for programme staff and assist in processing the travel claims.
*Responsible for providing assistance to the Snr. Administrative Assistant for all arrangements of meetings/workshops
*Responding/making queries regarding HR, Admin, Finance, Security and Purchase issues.
*Preparing monthly Attendance Reports of all staff
*Maintenance and custodian of staff personal files
*Calculating/preparing monthly overtime statements for all staff members.
*Assist in preparing computer tests and conducting interviews for the recruitments.
*Maintaining/up-dating staff directory with all necessary information.
*Responsible for arranging periodic medical examinations for regular UNHCR staff and entry medical exams for the newly recruited staff and providing assistance to the Snr Human Assistant in processing the medical claims of the UN physicians for such exams.
Help Desk for Emergency
*Update Telephone list of EQE Staff members & BOI on daily basis; arranges the issuance/installation of the mobile phones for Emergency Staff Members.
*Handling Help Desk matters or updates the list of staff members hired locally or deployed to Pakistan on mission under Emergency.
*Responsible in visas extension, landing permit & other related matters for the staff under Emergency.
